In the fast-paced business world, reliable communication is the lifeblood of efficient operations. For organizations leveraging the power of Oracle EBS (E-Business Suite) and Oracle Cloud Fusion, the seamless delivery of critical business documents—be they invoices, purchase orders, or other essential communications with partners—is paramount. However, the standard email functionality within these robust ERP systems often leaves a critical gap: the uncertainty of whether your message truly arrived and was engaged with. This lack of visibility can lead to duplicated efforts, delayed processes, and a general sense of unease.

Imagine sending out month-end financial reports from Oracle EBS or critical workflow approvals from Oracle Cloud, only to wonder if they reached the intended recipients. Did they land in their inbox, get caught in a spam filter, or encounter a delivery error? Without concrete answers, valuable time is wasted on follow-ups and troubleshooting.

While Oracle EBS and Oracle Cloud offer robust functionalities, their native output options for document delivery, including email, can present several challenges that hinder efficient communication and operational visibility. Oracle Cloud’s standard output options may have limitations such as:

Limited control over print (i.e, email, print, and no print) destinations and configurations.

Difficulty in automating complex distribution workflows.

Email subject and body are often static and based on the Business Unit.

Limited distribution options, potentially leading to increased manual intervention and delays.

It’s also a common misconception that if Oracle reports an email as “Complete,” “Success,” or “Sent,” it automatically means the email was successfully delivered to the recipient’s inbox (Schrödinger’s Email). This assumption can lead to false confidence and a lack of proactive follow-up on critical communications.

Another challenge is Microsoft’s forthcoming limitations on outbound sending and complex OCI email requirements (and limitations).

Enter AventX Email Tracker, a solution designed to bridge this visibility gap. It empowers Oracle EBS and Oracle Cloud users with the ability to gain deep insights into the delivery status of their emails, providing enhanced control over critical communications and ultimately boosting internal productivity and streamlining workflows.

AventX Email Tracker significantly leaps forward in email delivery management for your Oracle ERP environment. It moves beyond the basic “sent” status, offering comprehensive tracking that provides a clear picture of your email’s journey. With AventX, you gain access to crucial information at each stage of the delivery process, including:

Confirmation of receipt by the email server: Know that your email successfully reached its initial destination.

Inbox placement: Understand if your email landed directly in the recipient’s inbox, avoiding potential delays or missed communications due to spam filters.

Open tracking: See if and when the recipient opened your email, providing insight into engagement.

Click tracking: For emails containing links, track which links were clicked and when, offering valuable data on recipient interaction with shared information.

Bounce and non-delivery notifications: Receive immediate alerts if an email fails to be delivered, allowing for swift corrective action.

This detailed tracking eliminates the guesswork associated with standard email, providing tangible evidence of communication delivery and engagement.

The Power of Oracle Data Integration: Context is King

A key strength of AventX Email Tracker lies in its deep and seamless integration with your existing Oracle data, transforming raw email delivery information into actionable business intelligence. By leveraging crucial identifiers such as the Oracle EBS Request ID or the Oracle Cloud ESS Process ID, AventX enriches the email tracking data with invaluable context, directly linking email activity to specific email recipients, documents, and processes within your ERP.

Consider the implications of this integration for managing invoices. When a batch of customer invoices is generated and distributed via email from Oracle EBS, AventX doesn’t just tell you if the emails were sent. It ties the delivery status of each invoice directly back to the unique Request ID of the invoice generation process. This means if a customer claims they haven’t received their invoice, your accounts receivable team can instantly pinpoint the exact instance of the invoice generation within EBS and check the corresponding email delivery status in AventX, all using the same identifier. They can see if the email was delivered, opened, or if a bounce occurred, allowing for immediate troubleshooting and resending if necessary—potentially even before a customer follows up. This proactive approach can significantly improve your Days Sales Outstanding (DSO) and enhance customer satisfaction.

Similarly, when purchase orders are dispatched to vendors from Oracle Cloud Fusion, AventX tracks their journey and associates each PO delivery with the specific ESS Process ID of that PO creation instance. If a vendor claims they haven’t received the PO, your procurement team can quickly ascertain whether the notification was successfully delivered and opened, directly referencing the relevant ESS Process ID. They can identify delivery failures, investigate potential issues with the email system, and resend the PO promptly, preventing delays in your supply chain and ensuring timely fulfillment of orders.

Furthermore, this integrated data can be leveraged for more insightful internal reporting and analysis. Imagine being able to track the delivery success rates of specific Oracle modules or business processes. By monitoring AventX data, you can identify areas where communication breakdowns might be occurring, allowing for targeted improvements to your system configurations or communication protocols. This ability to contextualize email delivery within the broader Oracle landscape provides a level of visibility and control that standard email functionality simply cannot offer. The inherent link between the email activity and the originating Oracle process transforms email tracking from a reactive troubleshooting tool into a proactive instrument for optimizing workflows and ensuring the reliable flow of information across your organization.

Enforcement of this TERRL began in April 2025 and is being rolled out in phases.

Are you a high-volume sender who relies on Microsoft 365 Exchange Server to transmit critical business documents from Oracle EBS and Oracle Cloud ERP? If so, you may have encountered a significant challenge: Microsoft 365 rate limits on email sending. Sending many emails can result in delays and disruptions, affecting the timely delivery of crucial messages—invoices, purchase orders, and more—to your recipients.

Here’s a summary of the critical limits; a full list can be viewed at the link above.

Recipient Rate Limit: A user can send emails to a maximum of 10,000 recipients daily. If this limit is reached, sending messages will be blocked until 24 hours have passed and the number of recipients sent to drops below the limit.

Message Rate Limit: A user can send emails at a rate of 30 messages per minute. Excess messages will be throttled and sent in the following minutes if this limit is exceeded. Exchange Online is not recommended for bulk-mailing scenarios.

Think of the email delivery process as a complex highway system. Your emails are like cars, traveling from the source (Oracle EBS or Oracle Cloud) to the destination (your recipients’ inbox). Microsoft 365 rate limits can be likened to traffic jams that slow down the flow of your emails.

Solving the Rate Limit Problem with AventX

Thankfully, there’s a solution that can put an end to these limitations and enhance your email delivery process. Introducing AventX for Oracle EBS and AventX for Oracle Cloud, featuring the powerful Email Tracking module.

AventX is designed to bypass Microsoft 365 rate limits and streamline the delivery of your emails. How does it work? The module harnesses the capabilities of AventX as an email service provider (ESP) to send emails from Oracle EBS and Oracle Cloud. As the emails are transmitted, the system captures comprehensive delivery data, providing real-time insights into the status of each email.

Most importantly, the solution does not implement any substantial rate limits to the number of emails you can send per hour or day. Thus, ensuring that your critical Invoice, Purchase Orders, and other documents are sent on time!

Revisiting the traffic jam analogy, AventX Email Tracking acts as a real-time GPS, guiding your emails around these roadblocks and providing your own dedicated route. With this powerful tool, you can avoid delays and ensure your emails reach their destination efficiently.

The Power of Real-Time Insights

Imagine having access to real-time data on the status of your critical business emails. With AventX Email Tracking, you gain full visibility into the delivery process. When an email is sent, you can monitor its journey until it reaches its destination. If, for any reason, an email is not received by the intended recipient, you will know promptly. This allows you to take swift action and ensure your messages reach their target audience without delay. And, if there is an error, you can react quickly to resolve the issue and resend the important message.

If you are a high-volume sender relying on Microsoft 365 Exchange Server to send critical business documents from Oracle EBS and Oracle Fusion Cloud, AventX is tailor-made for you. Whether you’re handling invoices, purchase orders, or other essential communications, this solution ensures the smooth transmission of your messages without being constrained by Microsoft 365 rate limits.

Say goodbye to delays and failed messages, and ensure your emails reach their intended recipients promptly. Embrace AventX Email Tracking today and witness a seamless email delivery experience like never before. Your high-volume sending process and critical business document delivery will become a streamlined highway of communication, ensuring your vital messages arrive at their destination without detours or disruptions.

This form cannot be deleted because it is being referenced by another AOL object. Remove the object that references it, and then try deleting again.

Ever get this error and swear that you have cleaned everything up? I have. So I opened up the FNDFMFBF.fmb form and figured out what throws this error so I could get things cleaned up appropriately. Keep on reading for what the form uses to determine if this error gets thrown and how to clean up your system.

1. Run the following query:

select 1 from sys.dual where not exists(

select 1 from fnd_form_functions

where form_id = :form_id

and application_id = :application_id);

If it does NOT return 1 then you still have a function defined somewhere. To figure out the name of the function run the following query:

select * from fnd_form_functions where form_id = :form_id and application = :application_id

Get the values for :form_id and :application_id by navigating to:

Help -> Diagnostics -> Examine on the Forms form and changing the Field value from FORM_NAME to FORM_ID and then to APPLICATION_ID

Then just open the Application Developer -> Application -> Function and delete the offending function(s).

2. If you square away the above and are still getting the error, you may have Audit Data preventing you from deleting the form.

Run the following query to find out:

select 1 from sys.dual where not exists

(select 1

from fnd_login_resp_forms

where form_id = :form_id

and form_appl_id = :application_id);

Again, if this query does NOT return 1, you’ve got a problem. To fix you need to purge your audit data. Note that this destroys potentially valuable data and you should be aware of it’s impact. I would recommend reading the Oracle EBS System Administrator’s Guide for Security, specifically the section on Auditing and Monitoring. You have been warned.

To purge the audit data, login as System Administrator and Submit a request by the name of ‘Purge Signon Audit Data‘. Use today’s date as the parameter and submit to noprint (See warning above….) Recheck the query, it should return 1 now.

After running these 2 steps, you should be good to go for deleting your form without any problems. Hope it helps!

The post Error: This form cannot be deleted because it is being referenced by another AOL object. first appeared on STR Software.

Anyone that’s been following the release of 12.2 knows that Online Patching is the BIG feature that everyone is talking about. I’ve had the opportunity to utilize this new functionality and it’s been quite interesting. Online Patching is based on the Oracle Database 11.2 feature called Edition-Based Redefinition.

The patch process has completely changed. There is now a patch edition and a run edition in the database. Additionally, the filesystem itself has 2 editions, a patch and run edition (there’s also one other filesystem that is non-editioned). There are 5 major steps in the patching process.

Prepare – Creates the patch edition.

Apply – Applies the patches to the patch edition

Finalize – Ensures the system is ready for cut over (from patch to run edition)

Cutover – This is where the patch edition becomes the run edition.

Cleanup – Removes unnecessary code from obsolete editions.

Steps 1-3 can be run while users are actively using the system. All of the patching is done in the patch edition of both the database and file system. Users essentially have no clue that patching is happening. Step 4 does require users to be booted off the system as the physical cutover is performed making the patch edition the new run edition, but this time should be nominal as all of the time consuming patching has already occurred in Steps 1-3. Additionally, the cutover process can be scheduled anytime after steps 1-3. For example you could take care of Steps 1-3 and then wait a week for an optimal time to run the actual cutover itself. Step 5 also does not require the system to be down and can be run anytime after the cutover and before the next prepare phase.

One of the features of EBR is the ability to have certain users using the new functionality while other users use the old, non patched functionality. I was pretty excited about this. What a great way to test patches in the wild right? Give access to some power users to the patch edition and let them have it to really test it out. Unfortunately, this particular feature of EBR does not seem to be available in the online patching functionality of EBS. Users are quarantined to the RUN edition only.

This new patching methodology is going to be mean changes for a lot of people. Both 3rd parties like STR Software that have bolt on products and individual companies that are maintaining customizations will require modifications to their code base to support Online Patching. I am currently going through the process of determining what those changes are and what they mean to our product and installation/upgrade scripts. I will likely have more comments on that subject once I’m further along in my investigation!

For now, if you’ve been maintaining and patching previous versions of EBS and you are moving to 12.2, I would highly recommend that you thoroughly read the Oracle EBS Concepts Guide and Oracle EBS Maintenance Guide focusing on the patching and filesystem sections as everything has changed. It will give you a good primer as to what you are in for!

The post Oracle EBS 12.2 Online Patching – First Glance first appeared on STR Software.

Regarding bursting functionality, Oracle may have taken one step forward by consolidating back end processing, but took two steps backward in delivering end user experience.

The post Bursting in One Step from R12.2: Users in the Dark on Request Status first appeared on STR Software.

In the latest release of EBS R12.2, Oracle has introduced the ability to burst in a single concurrent request. Although we predicted this was coming, we weren’t sure what it would mean for users and support admins. What we have found is that the new feature actually creates a worse experience for the end user and as a result, the business as a whole.

Here is how it works: Oracle has added a check box to the Submit Request form and users can select whether they want the document to be burst and away it goes (you still have to setup your bursting control file and all that fun stuff). A single concurrent request is kicked off and the Output Post Processor takes it from there and bursts the data.

Unfortunately, in tinkering with this functionality I found a couple things that were concerning:

1. Oracle’s Bursting Status Report that we’ve all come to know and love does not get generated. Instead, status information is actually posted in the logfile for the request itself. Prior to this change the Bursting Status report used to look like this, which provided some insight:

Now… you just get this information buried in the log:

— BURSTING:
— Bursting results —

KEY: PO# 6574
OUTPUT_TYPE: pdf
DELIVERY: email
OUTPUT: /d01/oracle/VIS/fs1/inst/apps/VIS_vm-dev-1221/appltmp/091613_140248305/xdo1_PO# 6574_2.pdf
STATUS: success

KEY: PO# 6575
OUTPUT_TYPE: pdf
DELIVERY: email
OUTPUT: /d01/oracle/VIS/fs1/inst/apps/VIS_vm-dev-1221/appltmp/091613_140248305/xdo1_PO# 6575_6.pdf
STATUS: success

+—————————————+

Ugh…Unless your end users read log files, they now have less hope of figuring out the status of their documents without calling an administrator, or worse, hearing that it didn’t arrive from the intended recipient. How is that good for your users? Note that if you want to keep the bursting status report around, you can always go back to submitting two concurrent programs! Also note that as always, the status of the document is actually the status of BIP handing off the data to the 3rd party delivery mechanism, not the actual status of the report that was sent. For that, you’d need a product like AventX which lets end users drill down and manage individual documents on their own.

2. The second concern is that depending on the amount of data that you are bursting, the concurrent request can timeout waiting on the Output Post Processor and complete with a warning. At the same time, the bursting is still happening in the background and NO status is returned to a user.

For example, I submitted 3500 POs in a batch to be burst. According to the logfile, post processing started at 10:18a and the concurrent manager timed out waiting for the post processor to complete at 10:25a.* The timeout is fine and normal, and I’m certain can be tweaked. The concerning thing is that even though the timeout occurred, the bursting did not stop! It’s currently 2:15p and I’m still getting emails from the bursting program. Now here’s the real problem: my users have no clue that the bursting program is still running and have no way to get status and will likely resubmit and RESEND the data to the end recipient. Imagine if this was a PO and the order was fulfilled twice? These “little things” make it clear that Oracle wasn’t developing with the daily routine of users in mind and explains why we hear stories from users that their Procurement team or AR team doesn’t “trust” the black hole that is delivery from EBS.

So as you can see, Oracle may have taken one step forward by consolidating back end processing of delivery requests, but took two steps backward in delivering end user experience.

(*note as of 10:25a when the concurrent request timed out, only 48 documents had been delivered. The machine this is running on is not the fastest, but I would expect that the timeout parameter will need to be tweaked across the board).

AventX provides end users with the ability to view delivery status and manage documents from within Oracle – no admin required! Want to know more about how to schedule, burst, and deliver critical invoices, POs, and other documents from Oracle EBS? Check out AventX.

I received the following comment recently on an older Forms Personalization post:

how can i get result from the following equation through personalization
K_LINES.LINE_VALUE = K_HEADER.K_VALUE/K_HEADER.PRIME_K_NUMBER

i want to know what is the syntax and what is the required steps to get the result automatically

thanx

First off, I was flattered that anyone reads these ramblings, especially stuff from 2011. Second I was intrigued as my immediate answer was…

hmmmmm… don’t know….

So I did a little tinkering around with forms personalization and found a solution. Now the context of the below solution is likely not the same as the what the commenter is looking at, but I think it should still apply to his situation as I’m just looking at 2 fields and performing some arithmetic on it. For my example, I’m using the standard Purchase Order form. I want to automatically calculate the following:

PO_LINES.ATTRIBUTE13 = PO_LINES.UNIT_PRICE / PO_LINES.QUANTITY

In this case: Attribute13 = 35/10

To make this happen, fire up forms personalization (Help -> Diagnostics -> Custom Code -> Personalization) and first decide on when you want this calculation to happen. In my case, I just want it to happen every time a new PO_LINE record is navigated to, so I made the Trigger Event be WHEN-NEW-RECORD-INSTANCE and the Trigger Object be PO_LINES:

You can make this be as complicated as you would like, it all depends on when you want the calculation to happen.

Now, the meat of the problem: how to do the actual calculation. One of the nice things about forms personalization is that you can just use a query to set item values in a form. This query can be anything (one caveat though… it has to return a charvalue!). So for our example, a query that would achieve our goal would be:

select po_lines.unit_price / po_lines.quantity from dual

Easy enough right? Well yes and no. This IS the query you need, but in order to have Forms Personalization correctly interpret it there are 2 things you need to worry about.

Syntax

It must return a char value -> NO NUMBERS

For the syntax, you just need to know that in order to reference the actual values in the items you are using to calculate your value you need to use the syntax:

$(item.block.item.value}

For example:

select ${item.PO_LINES.UNIT_PRICE.value}/${item.PO_LINES.QUANTITY.value} from dual

For #2, it must return a CHAR. So use the SQL function TO_CHAR!

select TO_CHAR(${item.PO_LINES.UNIT_PRICE.value}/${item.PO_LINES.QUANTITY.value}) from dual

Now plug it all into the Forms Personalization form… and you’re done.

As you can see from the above, I’m setting PO_LINES.ATTRIBUTE13’s VALUE property to the return of the select statement that we built and voila, you have a calculated field.
Cool, I learned something, here’s hoping this actually answers our commenter’s question!

A quick one today based on a question from OAUG Connection Point R12.1 last month. Additionally a question of my own for anyone out there reading this that can help me out (please read on).

Let’s say I want to sort a table result by a specific column. I can do this (in most cases – hence my question below) with Personalization.

Step 1: Click on Personalize Table for the table you want to sort.

Step 2: Personalize the actual table.

Step 3: Choose ‘Query’ at the level you want to create the personalization.

Step 4: Set your sorts based on the columns available for sorting.

Now to my question. It appears that this ‘Query’ personalization is not available for ALL tables. Check out the ‘Funds Capture Process Manager’ responsibility dashboard. There is a seeded table called ‘Recent Successful Settlement Batches’. Following the steps above you’ll find that Step 3 does not exist for this particular table. I’ve been through the docs (albeit not with a fine tooth comb), anyone know why?
