<p>The long and short of it is that while Oracle is an excellent tool for visualizing all your assets and attachments, it’s not designed for quickly creating a work packet that your technicians can use.</p>
<p>As an attachment organization tool, you can use Oracle’s native short-text and long-text formats. You can also attach files to the database or link files to external resources—these are known as File Attachments and URL Attachments, respectively.</p></div>

				<div class="et_pb_text_inner"><p>These four (4) attachment types—Short Text, Long Text, File &amp; URL—can also be stored in multiple places (or Entities) in Oracle, including the Asset, Operation, or even the work order itself.</p>
<p>While Oracle allows you to “visualize” or see all these attachments, the pitfall is that Oracle doesn’t make it easy to print them. To create a comprehensive work packet from Oracle using native functionality, you must open the attachments one-by-one, in their native file editor (think Word, Excel, Acrobat, etc.), and print them.</p>
<p>Then, once you have printed them all, you still need to collect them from the printer and collate them into a packet that supports your technicians’ objectives.</p></div>

<p>The introduction of AventX to your process offers an improved method for printing work order packets. When planners, schedulers, and supervisors need to distribute work order packets, they can search for the work orders required, select the appropriate attachment categories and entities, select the best available printer, then click the ‘Distribute Selected Work Packet(s)’ button.</p>
<p>When selecting categories, AventX will gather the attachments associated with that category—regardless of the file format or location—and print the file using a common paper size (e.g., A4, Letter, etc.) to your selected printer.</p>
<p>AventX also offers multiple additional “Categories” planners can select, such as Maintenance Job Attachments. As well as provides a printer selection drop-down to pick the most convenient or best printer for the job.</p>

<p>One of the fastest-growing mining companies in the world elected to migrate from Oracle EBS (on-premises) to Oracle Cloud ERP, which included migrating their maintenance initiatives from Oracle eAM to Oracle Fusion Cloud Maintenance.  With Oracle eAM, the organization relied on the ability of AventX to automatically collect URL and File attachments, collate the work order, and, finally, deliver the work packet to a selected printer.</p>
<p>In this shift to Oracle Cloud Maintenance, staff quickly identified many of the same challenges that were present in the “old” Oracle eAM product—attachment gathering, packet creation, and printing. Additionally, new challenges with the cloud-based solution arose, particularly connecting a SaaS solution to on-premises printers (security) and the ability to print large batches of work orders (scalability).</p>
<p>With AventX for Oracle Cloud Maintenance, the organization was able to successfully migrate to Oracle Cloud Maintenance while maintaining the feature parity they desired with their on-premises AventX implementation, while also overcoming these new security and scalability challenges.</p></div>

<p>In shifting to the cloud, the gold and phosphate mining company discovered that printing physical, paper work order reports remained a critical requirement for their maintenance team. Moreover, these printed work orders needed to include various attachments located throughout the Oracle Cloud Maintenance module.</p>
<p>In other words, the maintenance operations team needed an easy and automated method for technicians to obtain <em>all</em> the information they need to perform their work—work order + attachments (text attachments, Excel checklists, drawings, images, and more).</p>
<p>After evaluating Oracle Cloud Maintenance native functionality, the team was left with the ability to <em><u>only create and print work orders with attachments if the file is included as a PDF at the Work Order Header or Work Order Operation</u></em>. Attachments that are URLs or other file types are excluded, as are Attachments at the Asset, Work Definition, and other locations.</p>
<p>To generate a single work packet, all the other critical attachments, each document must be opened individually using its native file application, printed, then collected and collated.</p>
<p>Another option the organization considered to stick with native Oracle functionality, was for the operations team to convert thousands of documents stored in SharePoint (i.e., URL Attachments for Oracle eAM) and their Network from the original native file format (Word, Excel, CAD, etc.) to PDF. Once converted, the attachments would need to be uploaded. Not only would this have been a time-consuming task, but the files would also become static, requiring additional time and resources to update and re-insert into Oracle Cloud Maintenance.</p>
<p>Additionally, the client had requirements to archive copies of each work order packet delivered to technicians for auditing/compliance purposes. With Oracle Maintenance Cloud unable to deliver a full work packet in a single click, after manually creating the work packet, the client then needed to create a digital copy of and catalog the work packet to create the required electronic record of what was provided to the technician.</p></div>

				<div class="et_pb_text_inner"><h4>Work Order Scalability</h4>
<p>While Oracle Fusion Cloud Maintenance provides multiple options for generating work orders, each is accompanied by challenges that slow down the maintenance process. Because of these deficiencies, the client struggled with generating and printing their daily work order volumes.</p>
<p>The first process allowed the organization to print one (1) work order at a time. With a volume exceeding 800 – 1,000 work packets daily, printing one (1) at a time would come at a significant cost (time) to the maintenance operations team.</p>
<p>A second option provided the ability to batch process work orders; however, the work order details selection screen did not enable a printer to be chosen. This meant that the batch would need to be retrieved from Oracle ESS Processes and manually printed (and it would, again, include only a limited set of PDF attachments).</p>
<p>The third printing option, was a near reverse of the second, enabling the maintenance team to select a printer, but removing the ability to include attachments. When selecting a printer, native Oracle does not distinguish between business units, making every printer available to every user, often causing users to select a printer that was offline or in another location in the country.</p>
<p>Additionally, both the second and third options only offered users a limited set of parameters when defining the batch of work orders they needed to print for technicians. This limited set of options forced users to select a range of work orders, causing the organization to grossly overprint work orders that were unnecessary to transition to the maintenance technicians. Another challenge posed by this batch selection (“range only”) was that the client has business units using the same Oracle Cloud Maintenance pod. These business units are dispersed throughout Saudi Arabia, which meant that a batch (selected range) of work orders often included work assigned to another business unit in a disparate location.</p></div>

				<div class="et_pb_text_inner"><h4>Printing Security &amp; Connectivity</h4>
<p>When configuring Oracle Maintenance Cloud, the client discovered that connecting a SaaS application to their network of disparate printers required a significant amount of time and resources to configure and maintain—involving Linux/Windows admins, Oracle Fusion Cloud admins, and the network security teams.</p>
<p>More importantly, to enable IPP printing, it required potentially risky changes to their inbound network connections and firewall rules. And the print server and/or individual printers would require SSL configuration and management.</p>
<p>While testing IPP printing, the team found that no print status was provided to end users. With remote printers and no print feedback, maintenance operations had no way to identify if the print jobs had successfully been printed.</p>
<p>In addition to these security issues, every time a printer was added or a configuration was changed, it needed all three (3) teams, working in unison, to update the configurations.</p></div>

<p>AventX solved the challenges in creating work packets by extending the existing functionality of Oracle Cloud Maintenance to not only print the work order but also to gather, collate, and print the necessary attachments. Initiated from the Oracle Cloud Maintenance Schedule New Process screen, AventX extracts both File and URL Attachments from Oracle Cloud Maintenance, combines them into a single file, and prints them to the selected printer.</p>
<p>With the ability to extract any file type from any entity—Work Order Header, Work Order Operation, Asset Work Definition, etc. (plus the ability to create custom, robust SQL queries to extract nearly any file from other locations), the client was able to migrate existing SharePoint URL and File Attachments in their native formats directly from their Oracle eAM implementation to Oracle Cloud Maintenance. Doing so eliminated the need to convert all their Word, Excel, CAD, image, and other file types to PDF.</p>
<p>Additionally, when printing a work order and gathering the attachments, the AventX for Oracle Cloud Maintenance solution is configured to automatically resize documents to the preferred paper size (i.e., A4), add dynamic page stamps to every page of a printed work packet (page number, work order title, etc.), and insert an error page when an attachment could not be extracted.</p></div>

				<div class="et_pb_text_inner"><h4>Scalable Work Order Printing</h4>
<p>The AventX solution improves the client’s ability to print batch work orders in batches by extending Oracle’s native Schedule New Process functionality. An enhanced Schedule New Process form enables the mining company to use additional standard and custom DFF fields for selecting which work orders to print—including, Work Center, Work Area, Asset Area, and more.</p>
<p>This means the maintenance operations team can select the required range, but also narrow the results to only the relevant work orders for the day or week. Eliminating the overprinting of unnecessary, unneeded, and irrelevant work orders to the batch run.</p>
<p>Notably, the AventX extension enables users to include attachments and select a printer in the Process parameters, a feature not available with Oracle Cloud Maintenance native functionality.</p>
<p>A final benefit the team realized is the ability to email work orders from the Oracle interface when printing is not available or needed.</p></div>

<p>AventX solved the client’s critical security and printer management challenges by acting as the on-premises printer server. Additionally, AventX acts as the admin and end-user interface, for application configuration for all the client’s Oracle Fusion printing needs. It also enables end users to view the status of their printed work orders and acts as a repository (for compliance/auditing) of each work order that was printed and delivered to a maintenance technician.</p>
<p>Additionally, AventX provides the multi-commodity mining company with unique configuration settings/rules for different Oracle Cloud Business Units, enabling each BU to use different methods for creating and distributing work packets to suit their needs. Because administrators can manage individual needs and printer access for each business unit, AventX has eliminated the ability of users to print work orders to an incorrect printer.</p></div>

<p>Of the assets being managed, 38% are reported to be managed by Preventative Maintenance. An additional 35% are managed by Run-To-Failure or Reactive Maintenance strategies.</p>
<p>In total, 73% of Assets are still managed through the bottom of the Pyramid strategies.</p>
<p>This means only 27% of assets are managed through the strategies in the top half of the pyramid—24% through Condition-based or Predictive techniques and only about 3% with “Other” methods, which for all intents and purposes, we will assume are more advanced or Prescriptive strategies.</p>
<p>The fact of the matter is that regardless of an asset’s maintenance strategy, your EAM package isn’t likely to solve the most significant challenges your maintenance teams face in moving your assets up the pyramid…</p></div>

<p style="padding-left: 40px;">EAM platforms can reduce training time by providing easier, cleaner tools, but they can’t resolve hiring or culture deficiencies. Nor will they likely ever try.</p>
<p><strong>PROCESS</strong> – Fifty-one (51%) of respondents found Process (planning/scheduling, reporting, improvement) a moderate challenge for their organizations.</p>
<p style="padding-left: 40px;">Many EAM applications help with scheduling corrective and preventive maintenance, managing inventory, coordinating shutdowns, and ensuring accurate data. Unfortunately, however, they can’t solve all the manual processes that plague maintenance teams—and maintenance planners.</p>
<p><strong>TECHNOLOGY</strong> – Technology (buy-in, implementation, analytics), was overwhelmingly ranked as the least problematic by 52% of respondents.</p>
<p style="padding-left: 40px;">A well-designed, cost-effective EAM platform <em>should </em>solve all technology-related issues. Hence, improving adoption and buy-in; unfortunately, as many maintenance teams know, it’s rarely as easy as one would hope.</p>
<p>In brief, while modern EAM applications can aid in improving the struggles of maintenance teams, they certainly cannot solve them.</p>
<p>These challenges intersect with maintenance strategies in several places, but Process (or process improvement) is effectively where all these challenges converge.</p>
<p>Maintenance teams are striving to move their assets to more advanced maintenance strategies; however, manual processes are keeping teams from focusing on the “bigger picture.”</p>
<p>In fact, a recent article titled, <a href="https://www.plantengineering.com/articles/a-seven-step-journey-to-prescriptive-maintenance/?oly_enc_id=3570E2160045E9X" target="_blank" rel="noopener">A seven-step journey to prescriptive maintenance</a>, from <a href="https://www.plantengineering.com/">Plant Engineering</a>, even lists <span style="text-decoration: underline;"><strong>streamlining routine</strong></span> as the #2 Step in moving to Prescriptive Maintenance.</p></div>

When the basics are covered easily, personnel have time to up to focus on more advanced questions such as diving into analytics.</p>

<p>One <em>routine</em> that is consuming maintenance planners’ time is Work Order Packet creation and distribution (printing).</p>
<p>It’s no secret that Maintenance Technicians rely on Work Orders to complete their assigned tasks. And, for various reasons, most maintenance teams rely on printed (i.e., good old-fashioned paper) work orders.</p>
<p>For better or worse, most modern EAM applications are primarily designed to be purely digital. They focus on things like IIoT, automation, scheduling, and even tracking/completing maintenance work from a phone or tablet.</p>
<p>As a result, they aren’t overly concerned with the basic concept of a printed work order. Unfortunately, when it comes to Oracle, Fusion Cloud Maintenance is no exception.</p>
<p>So, when it comes to Work Order creation, Maintenance Planners spend excessive time printing, collating, and stapling (and everything else in between) to create and distribute usable work order packets for their technicians.</p>
<p>Just like Oracle eAM, Oracle Cloud Maintenance’s on-prem predecessor—this work order creation challenge persists.</p>
<p>This process sees planners spending hours and even days each week just creating packets and getting them into the hands that need them.</p></div>

<p>The #1 most significant challenge is integrating a cloud solution with on-prem printers. More specifically, configuring IPP Printing.</p>
<p>IPP printing is risky, overly complex, and time-consuming to set up and maintain.</p>
<p>Inbound network connections must be opened and firewall wall rules established to allow printers to accept jobs from Oracle Cloud. Printers and/or print servers must be configured with SSL certificates that require ongoing management. This can be a substantial security issue, and multiple team members are also required to manage and maintain the integration.</p>
<p>Every time there’s a printer addition or configuration change, Windows admins and network security teams are linked up to complete the work.</p>
<p>Moreover, with IPP Printing, no printer status feedback is provided to the end user or administrator when printing the work order report.</p>
<p>For these reasons, many Oracle Cloud Maintenance clients we see have opted to forego direct printer integration when moving to a SaaS architecture.</p>
<p>However, without direct printer integration, Report Output gets shoved under the Processes View, and users need to hunt down the PDF output just to manually print the files (but more on this in Challenge #2).</p></div>

<p>This method uses the Print Work Order Details found in the Infolet.</p>

<li>This option gives users more direct control of what’s created, offering parameters users can select or fill in to refine their print criteria. (See image below)</li>
<li>But, the parameter options are limited and don’t include critical, oft-used criteria such as Crew, Work Area, Asset Location, or other variables that may be important to your business.</li>
<li>If multiple work orders are desired, they must be in sequential order. Given the lack of parameters, this could mean tens to thousands of WOs might be included in a Process Details Job. (Note: Thousands may sound like a complete fabrication, but one of our customers expressed this precise issue on multiple occasions, which happened more than once.)</li>
<li>When including Attachments, the output will attach ONLY PDF files uploaded to the Work Order Header and Operation.</li>
<li>Even if IPP Printing is configured, this option does NOT enable users to submit to a printer directly.</li>

<p>We’ve briefly identified some of the issues above regarding attachments. Here’s a continuation of those challenges.</p>
<ol>
<li>TEXT Attachments will NOT be included in the output.</li>
<li>URL Attachments will be SKIPPED because Oracle does not provide an authentication method to pull URL attachments.</li>
<li>In other words, only File Attachments will be included in the output. However…</li>
<li>…the attachment will be included only if the file is a PDF File.
<ol>
<li>Other File Types (like Word, Excel, images, etc.) will be SKIPPED.</li>
</ol>
</li>
</ol>
<p>Importantly, when File and URL Attachments are SKIPPED, users are provided no alert or notification of such an Error. This can create holes in the work order, ultimately leading to Safety, Compliance, and other challenges for Technicians and the Business.</p>
<p>This lack of automatically printed attachments can leave schedulers and planners stranded, hunting (in Oracle, Networked Folders, SharePoint, etc.), opening, and printing many individual files. Then, expend additional time collecting, collating, and preparing a complete packet to provide a technician.</p></div>

<li>Even when Attachments are included, only PDF File Attachments will print, leaving users hunting down and printing the additional attachments.</li>

For example, a File attached to a PO folder can be automatically inserted as a URL to a corresponding EBS Record.</li>
<li><strong>Automatically Create a New Folder in SharePoint Online</strong> — AventX A2A can now automatically create folders in SharePoint using data from Oracle EBS. For example, when a new Customer Invoice is created in Oracle EBS, AventX can create a SharePoint Document Library Folder with details using metadata (Fiscal Year, Supplier Name, Supplier ID, Supplier Site, Invoice Number, etc.) for easy user access.</li>
<li><strong>Convert and Combine Files to PDF</strong> — Files moving to or from Oracle EBS, SharePoint, and other locations can be automatically converted to PDF (and combined into a single file) during the process.</li>
</ul>
<p>These Actions, as well as others, can be linked together in an Action Chain to automate complex and time-consuming manual processes.</p>
<p>For example, when a customer Invoice is created in Oracle, AventX can automatically create a corresponding SharePoint Library Folder. Users can then add multiple files to the new folder that AventX will pick up, combine them into a single PDF (saved to SharePoint), and then insert the single file back into the Oracle EBS Invoice Record as a URL Attachment.</p>

				<div class="et_pb_text_inner"><p>Figuring out when an assigned work order is “done” can be a tricky problem for a maintenance organization.</p>
<p>Is it when the last bolt is tightened? When the last panel is polished? When the last form is signed? When the asset gets fired up again? Or when the maintenance planner closes the WO for good?</p>
<p>The answer is something each maintenance organization decides for themselves. For maintenance planners, however, simply printing a work order from <a href="https://www.oracle.com/applications/jd-edwards-enterpriseone/asset-lifecycle-management/capital-asset-management/">JD Edwards Capital Asset Management</a> (CAM) can introduce a similar question that has to be answered before work can even start!</p>
<p>Let’s briefly review how Work Order printing works in JD Edwards CAM. First, you log in and go to your preferred form for printing from JD Edwards. You select your Work Order(s), fill out any data needed to process it, and eventually end up on a screen that looks like this:</p></div>

Here at STR Software, however, that printer does not exist. And, even if your printers are real, you may have seen the same result—a missing print job—due to a simple typo when the printer was added, an IT administrator deciding that a printer name needed a refresh, or even a broken connection (for any number of reasons) to the printer.</p>

<p>How can that be? The job was done! It should have gone to the printer! That isn’t what “Done” means in JD Edwards.</p>

<p>By 2025, the manufacturing and maintenance industries will need to fill an estimated 3.4 million jobs. According to a report by the <a href="http://www.themanufacturinginstitute.org/~/media/827DBC76533942679A15EF7067A704CD.ashx">Manufacturing Institute and Deloitte</a>, 2.7 million of those 3.4 million jobs result from technicians hanging up their hardhats for good.</p>
<p>While other industries will be able to recruit new professionals to replace their retiring workforce, mechanics and technicians in manufacturing and maintenance will retire faster than new recruits can replace them leaving nearly 2 million jobs unfilled. <p>The labor shortage can be attributed to two main factors &#8211; a lack of new technicians interested in the field and a skills gap in those who are.</p>
<h2>The Talent Shortage</h2>
<p>Today’s education system in America places a much heavier emphasis on preparing students for college than ever before. This perceived lack of options outside of attending college combined with societal tendencies to place a higher value on traditionally “white-collar” work causes many high-school graduates to no longer see vocational schools as a viable option. These factors dramatically decrease the quality and size of the talent pool from which your company can recruit.</p>
