Maintenance planners and safety administrators know the importance of maintaining comprehensive documentation of maintenance activities. Accurate records are crucial for regulatory compliance, internal audits, and legal purposes. However, keeping track of all the paperwork, notes, and images generated during maintenance activities can be a time-consuming and overwhelming task, especially when technicians are involved.

That’s where AventX comes in. Our software solution offers a range of features designed to make your job easier, including archiving the final work packet with technicians’ notes. This is a great feature for organizations with technicians who write or markup notes and information on the distributed paper work packet and needs to add them to Oracle eAM before completion.

Then, once all the individual technician notes, pictures, and any new material are attached to an open work order, the work order is marked complete, and AventX automatically gathers all the new and existing attachments and creates a final archived work packet. This includes the Oracle eAM Work Order Report, attachments gathered from HEADER, OPERATIONS, ASSETS, and other configurable entity/category combinations in Oracle eAM, and the completed check sheets, checklists, and other documents that need to be included in the work packet for audits, procedural, and operational needs.

With a focus on Oracle and AventX, let’s take a quick look at three (3) ways you can print works orders and critical attachments directly from Oracle eAM.

The long and short of it is that while Oracle is an excellent tool for visualizing all your assets and attachments, it’s not designed for quickly creating a work packet that your technicians can use.

As an attachment organization tool, you can use Oracle’s native short-text and long-text formats. You can also attach files to the database or link files to external resources—these are known as File Attachments and URL Attachments, respectively.

When selecting categories, AventX will gather the attachments associated with that category—regardless of the file format or location—and print the file using a common paper size (e.g., A4, Letter, etc.) to your selected printer.

AventX also offers multiple additional “Categories” planners can select, such as Maintenance Job Attachments. As well as provides a printer selection drop-down to pick the most convenient or best printer for the job.

In conclusion, these are three (3) ways to print work order attachments from Oracle eAM when AventX is utilized. Both AventX options provide unique advantages to streamline your workflow.

The ‘Distribute Selected Work Packet(s)’ button is the original AventX method that prints all the attachments associated with the work order using selectable categories from the Oracle eAM user interface.

The individual attachment selection feature is the newest addition to AventX software that gives planners and schedulers more flexibility in selecting attachments.

With either AventX option, planners have control not only of the included attachments but of the print destination, including:

Basic Options

Default Windows Printer – Allows the user to print to the default printer mapped to the user’s workstation.

Print To – Allows the user to select any Windows printer mapped to their workstation.

Preview – Allows a user to preview the output as a PDF before taking secondary actions.

Advanced Options

AventX Mobile for eAM – Allows technicians to view and interact with the work order on a mobile device, mimicking the look of your existing work order.

Archive – Allows the maintenance team to archive a copy to an external location and the work order header for compliance and auditing

Email – A user can quickly email the file to a third-party recipient, such as a contractor.

By utilizing these AventX print options, maintenance planners and technicians can improve their work order creation and distribution workflow, making their job quicker and easier. Importantly, they ensure technicians get the correct information at the right time and place.

Case Study Snapshot

One of the fastest-growing mining companies in the world elected to migrate from Oracle EBS (on-premises) to Oracle Cloud ERP, which included migrating their maintenance initiatives from Oracle eAM to Oracle Fusion Cloud Maintenance. With Oracle eAM, the organization relied on the ability of AventX to automatically collect URL and File attachments, collate the work order, and, finally, deliver the work packet to a selected printer.

In this shift to Oracle Cloud Maintenance, staff quickly identified many of the same challenges that were present in the “old” Oracle eAM product—attachment gathering, packet creation, and printing. Additionally, new challenges with the cloud-based solution arose, particularly connecting a SaaS solution to on-premises printers (security) and the ability to print large batches of work orders (scalability).

With AventX for Oracle Cloud Maintenance, the organization was able to successfully migrate to Oracle Cloud Maintenance while maintaining the feature parity they desired with their on-premises AventX implementation, while also overcoming these new security and scalability challenges.

Work Packet Assembly

In shifting to the cloud, the gold and phosphate mining company discovered that printing physical, paper work order reports remained a critical requirement for their maintenance team. Moreover, these printed work orders needed to include various attachments located throughout the Oracle Cloud Maintenance module.

In other words, the maintenance operations team needed an easy and automated method for technicians to obtain all the information they need to perform their work—work order + attachments (text attachments, Excel checklists, drawings, images, and more).

After evaluating Oracle Cloud Maintenance native functionality, the team was left with the ability to only create and print work orders with attachments if the file is included as a PDF at the Work Order Header or Work Order Operation. Attachments that are URLs or other file types are excluded, as are Attachments at the Asset, Work Definition, and other locations.

To generate a single work packet, all the other critical attachments, each document must be opened individually using its native file application, printed, then collected and collated.

Another option the organization considered to stick with native Oracle functionality, was for the operations team to convert thousands of documents stored in SharePoint (i.e., URL Attachments for Oracle eAM) and their Network from the original native file format (Word, Excel, CAD, etc.) to PDF. Once converted, the attachments would need to be uploaded. Not only would this have been a time-consuming task, but the files would also become static, requiring additional time and resources to update and re-insert into Oracle Cloud Maintenance.

Additionally, the client had requirements to archive copies of each work order packet delivered to technicians for auditing/compliance purposes. With Oracle Maintenance Cloud unable to deliver a full work packet in a single click, after manually creating the work packet, the client then needed to create a digital copy of and catalog the work packet to create the required electronic record of what was provided to the technician.

Work Order Scalability

While Oracle Fusion Cloud Maintenance provides multiple options for generating work orders, each is accompanied by challenges that slow down the maintenance process. Because of these deficiencies, the client struggled with generating and printing their daily work order volumes.

The first process allowed the organization to print one (1) work order at a time. With a volume exceeding 800 – 1,000 work packets daily, printing one (1) at a time would come at a significant cost (time) to the maintenance operations team.

A second option provided the ability to batch process work orders; however, the work order details selection screen did not enable a printer to be chosen. This meant that the batch would need to be retrieved from Oracle ESS Processes and manually printed (and it would, again, include only a limited set of PDF attachments).

The third printing option, was a near reverse of the second, enabling the maintenance team to select a printer, but removing the ability to include attachments. When selecting a printer, native Oracle does not distinguish between business units, making every printer available to every user, often causing users to select a printer that was offline or in another location in the country.

Additionally, both the second and third options only offered users a limited set of parameters when defining the batch of work orders they needed to print for technicians. This limited set of options forced users to select a range of work orders, causing the organization to grossly overprint work orders that were unnecessary to transition to the maintenance technicians. Another challenge posed by this batch selection (“range only”) was that the client has business units using the same Oracle Cloud Maintenance pod. These business units are dispersed throughout Saudi Arabia, which meant that a batch (selected range) of work orders often included work assigned to another business unit in a disparate location.

Printing Security & Connectivity

When configuring Oracle Maintenance Cloud, the client discovered that connecting a SaaS application to their network of disparate printers required a significant amount of time and resources to configure and maintain—involving Linux/Windows admins, Oracle Fusion Cloud admins, and the network security teams.

More importantly, to enable IPP printing, it required potentially risky changes to their inbound network connections and firewall rules. And the print server and/or individual printers would require SSL configuration and management.

While testing IPP printing, the team found that no print status was provided to end users. With remote printers and no print feedback, maintenance operations had no way to identify if the print jobs had successfully been printed.

In addition to these security issues, every time a printer was added or a configuration was changed, it needed all three (3) teams, working in unison, to update the configurations.

AventX solved the challenges in creating work packets by extending the existing functionality of Oracle Cloud Maintenance to not only print the work order but also to gather, collate, and print the necessary attachments. Initiated from the Oracle Cloud Maintenance Schedule New Process screen, AventX extracts both File and URL Attachments from Oracle Cloud Maintenance, combines them into a single file, and prints them to the selected printer.

With the ability to extract any file type from any entity—Work Order Header, Work Order Operation, Asset Work Definition, etc. (plus the ability to create custom, robust SQL queries to extract nearly any file from other locations), the client was able to migrate existing SharePoint URL and File Attachments in their native formats directly from their Oracle eAM implementation to Oracle Cloud Maintenance. Doing so eliminated the need to convert all their Word, Excel, CAD, image, and other file types to PDF.

Additionally, when printing a work order and gathering the attachments, the AventX for Oracle Cloud Maintenance solution is configured to automatically resize documents to the preferred paper size (i.e., A4), add dynamic page stamps to every page of a printed work packet (page number, work order title, etc.), and insert an error page when an attachment could not be extracted.

The AventX solution improves the client’s ability to print batch work orders in batches by extending Oracle’s native Schedule New Process functionality. An enhanced Schedule New Process form enables the mining company to use additional standard and custom DFF fields for selecting which work orders to print—including, Work Center, Work Area, Asset Area, and more.

This means the maintenance operations team can select the required range, but also narrow the results to only the relevant work orders for the day or week. Eliminating the overprinting of unnecessary, unneeded, and irrelevant work orders to the batch run.

Notably, the AventX extension enables users to include attachments and select a printer in the Process parameters, a feature not available with Oracle Cloud Maintenance native functionality.

A final benefit the team realized is the ability to email work orders from the Oracle interface when printing is not available or needed.

Additionally, AventX acts as the admin and end-user interface, for application configuration for all the client’s Oracle Fusion printing needs. It also enables end users to view the status of their printed work orders and acts as a repository (for compliance/auditing) of each work order that was printed and delivered to a maintenance technician.

Additionally, AventX provides the multi-commodity mining company with unique configuration settings/rules for different Oracle Cloud Business Units, enabling each BU to use different methods for creating and distributing work packets to suit their needs. Because administrators can manage individual needs and printer access for each business unit, AventX has eliminated the ability of users to print work orders to an incorrect printer.

As organizations strive to usher in the next generation of industry, Industry 4.0, modern EAM applications are well-positioned to help reach that goal through enhancements in maintaining their assets.

Oracle Fusion Cloud Maintenance is no exception. Head to an Oracle event to hear the latest and greatest about the SaaS solution, and you’ll quickly learn that Oracle’s goal is to take organizations to the top of the maintenance pyramid—Prescriptive Maintenance.

The (current) holy grail of maintenance techniques, Prescriptive Maintenance, is driven not just by predicting failure (Predictive Maintenance) but by adding AI to the mix that can run what-if scenarios to make advanced predictions and recommendations to avoid or delay asset failures.

Well, the short answer is that it likely won’t.

The long answer is…The utility of modern asset maintenance applications grows as your organization moves up the pyramid. Without these forward-thinking tools, companies will be forever stuck in Reactive and Preventative maintenance.

This is shown to be true in the latest (2022) Plant Engineering and Advanced Technology Solutions survey.

Of the assets being managed, 38% are reported to be managed by Preventative Maintenance. An additional 35% are managed by Run-To-Failure or Reactive Maintenance strategies.

In total, 73% of Assets are still managed through the bottom of the Pyramid strategies.

This means only 27% of assets are managed through the strategies in the top half of the pyramid—24% through Condition-based or Predictive techniques and only about 3% with “Other” methods, which for all intents and purposes, we will assume are more advanced or Prescriptive strategies.

The fact of the matter is that regardless of an asset’s maintenance strategy, your EAM package isn’t likely to solve the most significant challenges your maintenance teams face in moving your assets up the pyramid…

EAM platforms can reduce training time by providing easier, cleaner tools, but they can’t resolve hiring or culture deficiencies. Nor will they likely ever try.

PROCESS – Fifty-one (51%) of respondents found Process (planning/scheduling, reporting, improvement) a moderate challenge for their organizations.

Many EAM applications help with scheduling corrective and preventive maintenance, managing inventory, coordinating shutdowns, and ensuring accurate data. Unfortunately, however, they can’t solve all the manual processes that plague maintenance teams—and maintenance planners.

TECHNOLOGY – Technology (buy-in, implementation, analytics), was overwhelmingly ranked as the least problematic by 52% of respondents.

A well-designed, cost-effective EAM platform should solve all technology-related issues. Hence, improving adoption and buy-in; unfortunately, as many maintenance teams know, it’s rarely as easy as one would hope.

In brief, while modern EAM applications can aid in improving the struggles of maintenance teams, they certainly cannot solve them.

These challenges intersect with maintenance strategies in several places, but Process (or process improvement) is effectively where all these challenges converge.

Maintenance teams are striving to move their assets to more advanced maintenance strategies; however, manual processes are keeping teams from focusing on the “bigger picture.”

In fact, a recent article titled, A seven-step journey to prescriptive maintenance, from Plant Engineering, even lists streamlining routine as the #2 Step in moving to Prescriptive Maintenance.

Process, Planners, and Paper: Where Modern EAM Applications Aren’t Helping Your Team

One routine that is consuming maintenance planners’ time is Work Order Packet creation and distribution (printing).

It’s no secret that Maintenance Technicians rely on Work Orders to complete their assigned tasks. And, for various reasons, most maintenance teams rely on printed (i.e., good old-fashioned paper) work orders.

For better or worse, most modern EAM applications are primarily designed to be purely digital. They focus on things like IIoT, automation, scheduling, and even tracking/completing maintenance work from a phone or tablet.

As a result, they aren’t overly concerned with the basic concept of a printed work order. Unfortunately, when it comes to Oracle, Fusion Cloud Maintenance is no exception.

So, when it comes to Work Order creation, Maintenance Planners spend excessive time printing, collating, and stapling (and everything else in between) to create and distribute usable work order packets for their technicians.

Just like Oracle eAM, Oracle Cloud Maintenance’s on-prem predecessor—this work order creation challenge persists.

This process sees planners spending hours and even days each week just creating packets and getting them into the hands that need them.

Organizations leaping into Oracle Fusion Cloud Maintenance have realized, or will shortly after initial testing, that the application leaves users—primarily planners—lacking functionality when creating work order packets.

Challenge #1: Connecting Oracle Cloud to On-prem Printers

The #1 most significant challenge is integrating a cloud solution with on-prem printers. More specifically, configuring IPP Printing.

IPP printing is risky, overly complex, and time-consuming to set up and maintain.

Inbound network connections must be opened and firewall wall rules established to allow printers to accept jobs from Oracle Cloud. Printers and/or print servers must be configured with SSL certificates that require ongoing management. This can be a substantial security issue, and multiple team members are also required to manage and maintain the integration.

Every time there’s a printer addition or configuration change, Windows admins and network security teams are linked up to complete the work.

Moreover, with IPP Printing, no printer status feedback is provided to the end user or administrator when printing the work order report.

For these reasons, many Oracle Cloud Maintenance clients we see have opted to forego direct printer integration when moving to a SaaS architecture.

However, without direct printer integration, Report Output gets shoved under the Processes View, and users need to hunt down the PDF output just to manually print the files (but more on this in Challenge #2).

Oracle provides three (3) primary options for printing Work Order Packets. These include printing from Manage Work Orders, the “Print Work Order Wizard” (Print Work Order Details), and Processes (both Ad Hoc and Scheduled). Each option presents unique challenges for users to consider and work through.

#1 Printing from Manage Work Orders = One. Work Order. At. A. Time.

The ONLY destination option is to generate a PDF. So, while it is quick to print an individual Work Order, you cannot print directly to a printer. Fortunately, this option is a direct download that enables users to access the results quickly.

Multiple Work Orders cannot be printed at the same time.

If Attachments are stored in the Work Order, only PDF Attachments will be included.

But, the parameter options are limited and don’t include critical, oft-used criteria such as Crew, Work Area, Asset Location, or other variables that may be important to your business.

If multiple work orders are desired, they must be in sequential order. Given the lack of parameters, this could mean tens to thousands of WOs might be included in a Process Details Job. (Note: Thousands may sound like a complete fabrication, but one of our customers expressed this precise issue on multiple occasions, which happened more than once.)

We’ve briefly identified some of the issues above regarding attachments. Here’s a continuation of those challenges.

TEXT Attachments will NOT be included in the output.

URL Attachments will be SKIPPED because Oracle does not provide an authentication method to pull URL attachments.

In other words, only File Attachments will be included in the output. However…

…the attachment will be included only if the file is a PDF File.

Other File Types (like Word, Excel, images, etc.) will be SKIPPED.

Importantly, when File and URL Attachments are SKIPPED, users are provided no alert or notification of such an Error. This can create holes in the work order, ultimately leading to Safety, Compliance, and other challenges for Technicians and the Business.

This lack of automatically printed attachments can leave schedulers and planners stranded, hunting (in Oracle, Networked Folders, SharePoint, etc.), opening, and printing many individual files. Then, expend additional time collecting, collating, and preparing a complete packet to provide a technician.

Automatically Create a New Folder in SharePoint Online — AventX A2A can now automatically create folders in SharePoint using data from Oracle EBS. For example, when a new Customer Invoice is created in Oracle EBS, AventX can create a SharePoint Document Library Folder with details using metadata (Fiscal Year, Supplier Name, Supplier ID, Supplier Site, Invoice Number, etc.) for easy user access.

Convert and Combine Files to PDF — Files moving to or from Oracle EBS, SharePoint, and other locations can be automatically converted to PDF (and combined into a single file) during the process.

For example, when a customer Invoice is created in Oracle, AventX can automatically create a corresponding SharePoint Library Folder. Users can then add multiple files to the new folder that AventX will pick up, combine them into a single PDF (saved to SharePoint), and then insert the single file back into the Oracle EBS Invoice Record as a URL Attachment.

But that doesn’t mean there are not potential pitfalls with your current iOS, Android, or other mobile device and applications.

OSHA exists to “ensure safe and healthful working conditions for working men and women by setting and enforcing standards and by providing training, outreach, education and assistance.”

Maintenance teams are no exception. Maintenance technicians and professionals are among a large group of employees who work in exceptionally dangerous conditions daily.

Safety and Health Program Recommended Best Practices

Under its mission to protect workers, OSHA has published a series of Safety and Health Program Best Practices. This document covers a full 36 pages of information, but can be summarized into the following seven (7) core focus areas:

(The complete guidelines can be reviewed here. A separate Best Practices for Construction is also available.)

1. Management Leadership – Organizations need buy-in from the top to put safety and continuous improvement at the forefront of all they do.

2. Worker Participation – Workers should be involved in creating, maintaining, and actively participating in a safety and health program. Any barriers or impediments to participation should be removed.

3. Hazard Identification & Assessment – Procedures and protocols should be established to identify and correct hazards and risks to employee safety. Routine inspections should take place, and any safety incidents should be investigated to determine the root cause.

4. Hazard Prevention & Control – Employers and workers cooperate to eliminate, prevent, or control workplace hazards. Plans to implement controls, monitor progress, and evaluate their efficacy should be developed.

5. Education & Training – All workers are trained on the program, their responsibilities, and how to identify workplace hazards. Employers, managers, and supervisors should all understand their responsibility for protecting workers’ rights and how to respond to reports and concerns.

6. Program Evaluation & Improvement – Safety programs should be continually evaluated and improved where needed.

7. Communication & Coordination for Host Employers, Contractors, and Staffing Agencies – All employees should be provided the same level of safety and communication regarding any hazards. Host employers should establish standards for contractors and staffing agencies.

With these core focus areas in mind, most organizations develop a robust written Safety and Health Program that will allow them to meet all the regulations and recommendations provided by OSHA.

OSHA even provides a helpful Safety and Health Program Audit Tool to ensure your organization’s plan will be successful and identify any deficiencies or areas of improvement.

Does your mobile maintenance application allow you to successfully execute on OSHA’s Best Practices and your organization’s established Safety and Health Program?

If you answered with an affirmative “Yep,” then you are probably in the clear! Good to go!

Reason #1: It Doesn’t Provide Your Technicians All the Information

Mobile maintenance apps are on the rise for a lot of reasons. They can eliminate burdensome paperwork and can support organization-wide paperless and green initiatives. They can free maintenance technicians from a desk…or rather, the need for a desktop application. They can provide better collaboration, more efficient processes, reduce errors, and much more.

We even threw our hat into the ring, developing a unique mobile application for Oracle eAM customers, which significantly eases the transition from paper to mobile by mimicking your existing work orders.

But once you connect that mobile application to your ERP, you might start seeing some pitfalls. For many Oracle eAM and JD Edwards CAM customers, your critical work order attachments are embedded in the database as files or URL links. If this is the case, and your mobile application can’t effectively pull these files for your technicians in the field, you have a pretty big problem.

As part of your organization’s written Safety and Health Program, you likely have established requirements to share critical information about the asset, important safety information and checklists, and other important files like lockout tagout procedures.

If your mobile application can’t display those critical documents, your organization is falling behind on many of OSHA’s Best Practices:

Management is not setting up staff to be successful;

Workers don’t have the information to keep them safe;

Hazard identification and assessment tools are not available; and, as a result

Hazard prevention and control is completely lost.

But, even if your solution can find these files, iOS and Android don’t always play nice with image files, Word docs and Excel spreadsheets.

Regardless of your preferred mobile application, a solution such as AventX that can grab all the file attachments and convert them to a single file in a standardized format (PDF) is your best bet for ensuring critical safety information is accessible and legible on all mobile devices.

Reason #2: Safety Checklists and Other Procedures Can’t Be Marked Up and Signed

Now that your maintenance technicians are getting all those crucial documents through your mobile app or device, they have the information they need to tackle their assigned work. More importantly, the files are in an easy to consume format—PDFs that can be navigated through, zoomed in on, and quickly reviewed.

You can check off the “Management Leadership” and “Worker Participation” line items on your Safety and Health Program.

But are your technicians participating? You’ve provided them the files, but as of right now, the only thing they can do is look at them.

If all your technicians in the field can do is view the files, your leadership and management team may be missing the mark on possibly the two most critical components of OSHA’s Best Practices:

Identify and assess hazards and dangerous situations; and

Prevent and control these situations before they create problems.

Without the ability to “use” attached forms—checklists, signature approvals, etc.—the whole Safety and Health Program begins to unravel.

Leaders and managers lose control of the procedures that are in place to ensure safety. Workers can ignore these critical documents because there is no system in place to monitor how the documentation is being used.

So, your next step is to ensure that these mobile-ready files are interactive, making sure that they can be annotated, marked up, signed, stamped, and more.

Manually created PDFs can be set up to be saved with interactive elements, like checkboxes and signature panes. When saved back into Oracle eAM, these files can then be accessed from the database by some mobile applications.

AventX for Oracle eAM’s Digital Print feature extends AventX’s attachment-gathering capabilities by saving a copy of the complete work order packet back to the Work Order header.

This provides a complete work order with all its attachments available to any mobile maintenance application that can view the work order header. More importantly, the AventX solution maintains any interactive functionality of PDF attachments.

By providing technicians with the tools to interact with your work orders and, more importantly, the safety documentation that comes along with them, your organization has the tools to maintain a safe and productive working environment.

Reason #3: Single Source of Truth for Program Evaluation and Auditing

At this point, we’ve reviewed the importance of 1) providing all the safety (and other) documents via a mobile application and 2) the ability of technicians to interact with those documents.

But you may still be missing out another critical Best Practice that may leave you open to potential OSHA compliance issues.

That is the Program Evaluation & Improvement component.

For organizations running a successful Safety and Health Program, there should be a single source of truth for evaluating the use of safety checklists and documentation. Leaders and managers need the ability to monitor the use of these all-important forms periodically.

Moreover, you may, at some point, need to show these documents to officials should you ever undergo an OSHA audit.

While the right file type (PDF) and annotation capabilities of many mobile maintenance applications provide much of the needed infrastructure to be successful, they often can’t distribute these necessary documents, once completed, to a final destination. This is especially true for organizations running Oracle eAM with a third-party application, which often don’t send completed documents back to the eAM module.

These files need a final resting place for leaders and managers to track progress and discover areas for growth.

Leaders must have the ability to monitor employee usage and manage to deficiencies. For many organizations, this single source of truth is Oracle eAM itself.

If your mobile application cannot save the document back to Oracle or to an external library, like SharePoint, you may be setting yourself up for disaster.

To supplement third-party applications, the Digital Print feature of AventX can make these critical files accessible from your networked libraries for both initial usage and for archival or auditing purposes. Or, the AventX Mobile for Oracle eAM application easily saves these documents back to the work order in Oracle eAM.

Mobile applications are undoubtedly the future of the maintenance industry. However, there are three key areas that may present challenges for organizations, especially when it comes to OSHA Best Practices and compliance.

Missing or incomplete information making it to the field

Critical safety sheets and checklists that are not interactive

No mechanism available for program evaluation and auditing

For organizations to execute effective Safety and Health Programs in support of OSHA’s mission, they must review the available Safety and Health Program Best Practices and the Safety and Health Program Audit Tool.

Organizations must also understand and document the role of maintenance applications as they relate to established safety programs. If your maintenance application is deficient in even one of the three areas above, you may be opening the company to violations and fines.

Since 2008, we have seen many different approaches to managing document attachments in Oracle eAM. Based on these experiences, we’ve documented some of the best techniques and Oracle features for effectively organizing and storing attachments to help build a better experience for planners, schedulers, and technicians.

This information helps organizations launch maintenance improvement projects, create standards, distribute better safety information, and build a process that helps to quickly distribute the best information possible to technicians.

Introduction

Our experience has shown that commonly used documents should be stored in the Oracle Document Catalog via the Web Page attachment type, linking to a web-based document library such as SharePoint on-prem or SharePoint Online, which is quickly becoming the new standard.

This technique combines native Oracle EBS functionality and a commonly used enterprise application (i.e., SharePoint). This approach allows users to quickly select standard documents, and at the same time allows administrators and managers to implement good document version control.

While potentially time consuming to set up (AventX can help!), this approach creates an environment that is very easy to maintain. It allows planners and schedulers the ability to attach important documents to any level of the work order in Oracle eAM—including at the asset, work order, operation levels, as well as other locations. This process ensures consistency, and makes maintaining attachments easier over the long haul, which is incredibly important for safety documentation.

The first step is to build a good document library in something like SharePoint.

The first step in setting up your SharePoint structure for attachments will likely involve the IT department. It is recommended that a document library be explicitly created for the Maintenance team, where the document library name is something like “Maintenance_Attachments” or “Attachments.”

Based on your organization’s makeup, this “Attachments” folder could be preceded by additional levels of hierarchy, such as Org ID and/or Maintenance Location. The following is an example of how the folder hierarchy can be created.

/ Attachments / Work_Orders / Assets / Asset Number or Asset Group / Activity or Operation / Document

Naming the Files in the Document Library and Adding Document Metadata

It is good to have a strategy for naming the actual files in this directory. Here are a few approaches that seem to work well for many organizations.

Do not use spaces, use underscores. If a space is used, SharePoint adds a “%20” in the file name, which makes it difficult to link to as well as to migrate to other document libraries in the future if SharePoint isn’t part of the long-term attachment storage strategy.

Consider putting a “prefix” as the first part of the file name. For example, put a “INSP” for an inspection document or “SAFE” for a safety document. This way the document stands out to the user.

Create a “column” in SharePoint called “Document Type” to profile the type of document to improve searching for the document in SharePoint.

It is time to feed Oracle with a few documents now that they are in SharePoint. AventX should be installed at this point to test a small sample and get user feedback. Getting user feedback is essential before going crazy uploading all of the documents into SharePoint. You do not want to publish to the catalog, load all of the URLs, then all of a sudden, you need to change the folder structure, which will break your links in Oracle.

What About Your Existing Attachments? The Challenge of Migration

The strategy outlined above is a powerful, forward-looking approach to creating a scalable and manageable document library. As you read through the steps, a critical question likely came to mind: “This is great for new attachments, but what about the years of critical data we already have stored directly in Oracle?”

For most organizations, the prospect of moving thousands—or even millions—of existing file attachments from the Oracle database to a new repository like SharePoint is a monumental roadblock. A manual migration project would involve:

Individually downloading each attachment from every Oracle record.

Uploading the file to the correct folder in the new SharePoint library.

Copying the new URL for that file.

Navigating back to the original Oracle record.

Deleting the old file attachment and creating a new “Web Page” type attachment with the correct URL.

This process is not only incredibly time-consuming and resource-intensive, but it’s also fraught with the risk of human error, leading to broken links and lost data. The sheer scale of this task prevents many organizations from ever adopting a more efficient attachment management strategy.

Automate Your Move with AventX A2A

This is precisely the challenge that AventX A2A (Attachment to Attachment) was designed to solve.

AventX A2A is an automated solution that manages the entire migration process for you. It intelligently extracts your existing file attachments (e.g., PDFs, images, text files) from the Oracle database, uploads them to your target repository like SharePoint Online, and seamlessly updates the links within Oracle EBS to the new URL—all without manual intervention.

By automating this migration, AventX A2A enables you to:

Adopt Best Practices Immediately: Overcome the migration hurdle and implement a modern, efficient document management system now, not years from now.

Drastically Reduce Labor Costs: Free your IT and maintenance teams from a tedious, low-value manual migration project, allowing them to focus on strategic initiatives.

Eliminate Data Entry Errors: Ensure every attachment is migrated correctly, preserving the integrity and accessibility of your critical maintenance and safety documentation.

Improve Oracle Performance: Offloading large binary files (BLOBs) from your database can lead to a leaner, faster, and more responsive Oracle environment.

Figuring out when an assigned work order is “done” can be a tricky problem for a maintenance organization.

Is it when the last bolt is tightened? When the last panel is polished? When the last form is signed? When the asset gets fired up again? Or when the maintenance planner closes the WO for good?

The answer is something each maintenance organization decides for themselves. For maintenance planners, however, simply printing a work order from JD Edwards Capital Asset Management (CAM) can introduce a similar question that has to be answered before work can even start!

Let’s briefly review how Work Order printing works in JD Edwards CAM. First, you log in and go to your preferred form for printing from JD Edwards. You select your Work Order(s), fill out any data needed to process it, and eventually end up on a screen that looks like this:

Now just click the green checkmark, and JD Edwards will start printing your Work Order! If all goes well, you’ll end up with an entry like this in your Submitted Jobs:

Unfortunately, you stroll over to the printer and find the tray empty. Your Work Order didn’t print. You check the print log, and nothing’s there.

Here’s the Dirty Little Secret: “Done” doesn’t mean “Printed”

To further clarify, let’s look at that printing screen one more time.

The printer we sent our work order to, \\corprts1\devprn1, looks legitimate. Your organization may have one or more printers with a similar name. Here at STR Software, however, that printer does not exist. And, even if your printers are real, you may have seen the same result—a missing print job—due to a simple typo when the printer was added, an IT administrator deciding that a printer name needed a refresh, or even a broken connection (for any number of reasons) to the printer.

Frustrating, Right?

How can that be? The job was done! It should have gone to the printer! That isn’t what “Done” means in JD Edwards.

“Done” means that JDE generated your work order and the resulting document is ready to be downloaded, printed, or viewed.

It does not mean that it made it to your printer. In a fast-moving maintenance organization, this means a misspelled printer name, broken wire, or unregistered printer can lead to confusion, frustration, and precious work-hours lost before actual maintenance work on assets can even begin.

For maintenance planners who are printing to the machine down the hall, this isn’t a big problem. Printing to multiple or remote printers presents a larger issue. For those working to solve it, AventX for JD Edwards might be the answer.

AventX can guarantee that “Done” means your printer has received your work orders. AventX can even pull important attachments, such as safety documents and special permits, from JD Edwards, and guarantee their delivery as part of your Work Order. When problems occur and your printer is unavailable, AventX will update your Submitted Jobs to let you know something went wrong.

Streamlining and automating your company’s work order preparation helps you get the most out of your assets while elevating your overall preventative maintenance program. View the full presentation below to find out how.

Your key company assets are a significant upfront investment, but unexpected breakdowns can cause even more significant costs for your business with unscheduled shutdowns for production, decreased productivity for work crews, or rush fees for new parts and repairs.

These costs are why having a top-notch preventative maintenance program is crucial to your business. Since the success of your reliability program depends on the precision and accuracy of your work orders, here are 3 ways automated attachment printing from AventX can improve work order quality and boost your asset reliability:

1. Better Communication

With AventX, you can update maintenance procedures instantly and independently for all relevant work orders. This guarantees no detail gets lost in the process of working through multiple team members.

2. Better Accuracy

Deter your teams from printing standard attachments in bulk and stashing them for convenient use. AventX prints a complete work order packet in 1-click, making printing painless and ensuring the most up-to-date attachments are included

3. Better Performance

Printing with AventX frees up time to work through your maintenance backlog and focus on preventative maintenance efforts.

And more focus on maintenance can lead to extra benefits like:

Lower fuel or energy consumption from operating in peak performance conditions

Flexibility to schedule maintenance with minimum impact on production

So let’s review…Automated work order attachment printing with AventX leads to better asset reliability through better communication, better accuracy, and better performance.

For you, that means more savings, profits, and success!

The post 3 Ways You Can Achieve Better Asset Reliability first appeared on STR Software.
