Summer is officially here, and like the rest of the world, STR Software continues to take the coronavirus pandemic very seriously. We are all still working from home with no clear timetable for returning to the office, but that has not kept us from continuing to turn out improvements to our product lines to enhance our customers’ operations and experience.

Given the current climate, we were also excited to bring on a few new permanent team members and several summer interns from regional colleges, including Virginia Commonwealth University and The College of William & Mary. During the summer, interns work with product code and on special projects. Many of these assignments will appear in upcoming releases of the AventX and AventX A2A software lines.

Now back to the Summer 2020 Release. We spent much of the Spring, as one should, cleaning and sprucing things up. We have a continuous goal always to be simplifying and streamlining, and this Summer release reflects much of that. Much of the sprucing was also preparing AventX for product improvements from our fax and secure delivery partner, Biscom.

So, without further ado, here’s what to expect from our Summer release cycle.

New Fax Delivery Features

Support for FAXCOM Suite for Windows v11.0

Many of our customers are looking to enhance their fax capabilities while they continue to work from home. With that in mind, updates to the AventX solution in the Summer release support the latest versions of all FAXCOM products.

Availability: FAXCOM Suite for Windows with All Supported AventX ERPs

New Fax User Interface

The latest version of FAXCOM Suite for Windows incorporates a brand-new Web Client interface. The more intuitive UX makes it easier than ever for individual users to send and receive faxes and does not require IT to install any additional software on users’ PCs.

In addition to a data-driven design, the new web client support key new features including:

  • Cover Page Preview — Instantly see the difference between your cover page choices and pick the one you need
  • Templates — Quickly resend faxes that reuse the same information or templates

New Fax Cover Page Editor

The latest release of FAXCOM Suite incorporates new tools to create and manage fax cover pages. Users can leverage Microsoft Word as the primary application for creating cover pages along with a new print driver to create the final .CPG file that is required by FAXCOM Suite for Windows.

Fax Architecture Improvements

Securely Archive Sent & Received Faxes with Mailbox Server

FAXCOM Suite for Windows and FAXCOM Anywhere enable users to access sent and received faxes through a Microsoft SQL database rather than a network file system. Organizations using the FAXCOM Mailbox Server can encrypt faxes at rest, quickly search for and locate sent/received faxes, enable better network user access to faxes, and store an almost unlimited number of faxes in primary or archive document repositories.

Advanced Fax Routing & Optical Character Recognition

With more personnel working from home, Advanced Fax Routing (AFR) and Optical Character Recognition (OCR) offer enterprise fax users better tools to handle inbound fax routing and fax archiving.

AFR gives technical teams the ability to go beyond simple routing based on an inbound number. It enables routing based on workflows and rules. AFR provides more than 25 pre-built actions (including text extractions, reformat, rename, split fax into separate documents, and more) that can be integrated to create highly complex chains to execute based on defined conditions.

OCR can enable fax routing decisions to be made based on the content of the document, including character and barcode recognition. Combined with AFR, OCR can query databases to determine what actions to take with an inbound or outbound fax.

Secure File Transfer Improvements

AventX Mail SC + Biscom SFT 6.0

Announced in late 2019, Biscom SFT (Secure File Transfer) v6.0 is now fully supported by AventX for securely distributing emails and files to recipients. Biscom SFT 6.0 includes some significant improvements to the product line to increase security and usability.

  • Security Improvements — The 6.0 software release brings over 20+ security improvements to the software.
  • Two Factor Authentication - New features such as SMS 2FA (Two-Factor Authentication) provide additional layers of security.
  • GDPR Support — Biscom SFT 6.0 supports new governance controls with updated privacy notices, cookie policies and banners, and enhanced terms of service.
  • Cost Savings with Built-in Antivirus Software — Sophos Antivirus software is built natively into the application and no longer requires a separate license like the previous versions of Biscom SFT.

Document Processing

File Translation Bug Fixes & Performance Enhancement

Our products regularly receive tweaks to improve performance and squash bugs; but, the AventX Translation Server module is worth noting with this release. The module saw some significant improvements to speed and error reduction with upgrades to the underlying technology.

Improved Stability & Configuration

A new configuration parameter defines how many days of job history to keep. The ability to configure this data retention period for processed work order jobs gives AventX for JD Edwards customers using the Web Client improved stability and is highly recommended for customers with high volumes and/or long-term usage.

6 Key Components to Look for in an Advanced Fax Routing Solution

1. Route inbound faxes to any destination

Intelligent inbound fax routing provides a streamlined, centralized approach for your company’s receipt of faxes. Look for the capability to route incoming faxes to your employees’ desktops, file folder, or printers automatically. Automatic routing eliminates the need for individual fax machines and costly plain old telephone service (POTS) lines—saving your organization both time and money.

2. Delivery Server Hardware

A centralized delivery server is a key element in intelligent inbound routing. Look for delivery channels capable of sending and receiving anywhere from 10 to 40,000+ pages daily. Also, look for Windows and Linux supported configurations in either digital (T1/PRI/FOIP) or analog-based delivery servers to provide a streamlined environment for managing all of your incoming and outgoing faxes.

3. Route by Document Content | Optical Character Recognition (OCR)

A critical component of fax routing is the ability of your fax system to parse important information from the fax image. Look for the capability to use Optical Character Recognition (OCR), barcodes, or any other key identifier to intelligently route your documents to specific email inboxes, network printers, or files based upon pre-set rules.

4. Route by Dialed Number (DID/DNIS)

Look for digital and analog fax configurations for dynamic inbound routing based upon the digits dialed by the sending fax machine.   By associating the last four (4) digits of the recipient’s fax number with the recipient’s preferred method of receiving faxes, the delivery server will intelligently route the inbound fax to the respective destination(s).

5. Route by Fax Line

If your dedicated fax line is connected to the centralized delivery server to handle high-volume inbound fax traffic look for the capability to direct this traffic to internal email inboxes, network printers and/or files.

6. Route by Caller ID

Look for inbound routing based upon the caller ID associated with the incoming fax.  Using this method, fax traffic from specific vendors or customers can be configured for delivery to particular destinations (email inboxes, network printers, and/or files).
