Software Solutions Provider Automates Invoice, PO, and Statement Delivery from Oracle EBS


Case Study

The Organization:

Kenexa Technology Solutions Group provides employment and retention solutions to assist organizations in hiring and keeping workers. For more than 20 years, Kenexa has studied human behavior and team dynamics in the workplace, and has developed the software solutions, business processes and expert consulting that help organizations impact positive business outcomes through Human Resources. Their goal is to transform the global workforce by identifying the best individuals for every job and creating the best work environments for every organization.

The Problem:

Wendee Ladd, Oracle Applications Director for Kenexa, defined their document delivery challenge as follows: “[Our] biggest problem…was the formatting and delivery of invoices via email from Oracle EBS 11.5.10 on Sun Solaris. We also wanted to improve the format and delivery of purchase orders and statements.”

Ms. Ladd turned to the Oracle sales team and quickly determined that BI Publisher (formerly XML Publisher) out-of-the-box was able to solve Kenexa’s document formatting requirements. For delivery of documents, Oracle proposed assembling an Oracle-based team to create a custom solution. Upon review, Wendee and her team determined that the upfront cost and on-going maintenance expense of a custom solution were cost prohibitive. Ms. Ladd soon found another option through STR Software and the AventX suite of products.

The Solution:

After learning about the AventX Oracle Connector, Ms. Ladd worked with STR Software to define and fulfill her document delivery requirements. Recalling a particularly compelling demonstration that showcased the integration of AventX with Oracle EBS, Ms. Ladd remarked that “No changes would be necessary to our work flow processes [making] it easy for our people to use AventX daily.”

Kenexa purchased AventX from STR Software for automated document delivery of invoices and purchase orders primarily via email from Oracle EBS. Officially, Kenexa commenced using AventX in production with a daily volume of 100 pages. About 90% of all documents are sent using AventX Interactive Delivery (single submission) via email.

Going forward, Kenexa plans to take advantage of the AventX Automatic Delivery tool for batch delivery of invoices, their most widely created EBS report. Completely automating this process will allow Kenexa to focus resources to more productive activities. Although Kenexa does not have immediate plans to upgrade to R12, the good news is that the AventX solution supports all versions of R12 so Kenexa can take their investment with them when they choose to make the upgrade.

Ms. Ladd sums up her experience with STR Software and AventX as an easy decision, “I would definitely purchase AventX again and recommend it to others for purchase. Our users would be lost without it.”
